Each service addresses a specific set of requirements, so keep your requirements and challenges in mind when you choose a service; for example, choose Advanced Editing if you want your paper checked for language, but Premium Editing if you want it checked for language as well as structure and flow. Providing instructions for your editor

Choose the type of manuscript carefully

On the inquiry form, choose the type of manuscript carefully (e.g., Research paper/Journal article, Annual report) so that your editor can apply a suitable editing tone and style.

Make use of the free formatting service

If you have decided your target journal, avail of the free formatting offered with editing services by providing the URL to the journal’s author guidelines in English. If the guidelines apply to more than one journal, include the journal's name in your instructions for the editor. As some journals have specific guidelines for each submission type (original article, letter, short communication, etc.), mention your submission type in the instructions. Note that if your paper significantly exceeds any word or page limit set by your journal or publisher, the editor will meet the limit to the extent provided for by the service scope. However, if the reduction could lead to the deletion of factual content, the editor will avoid making such edits but will instead offer suggestions through comments.

Our editors can edit in American and British English. If you’re not sure which to choose, you may pick American English because of its wider acceptability. If you have opted for journal formatting, your editor will follow the style required by your target journal irrespective of what you choose here.

Upload files for editing and reference

Upload the files to be edited as well as any documents for the editor's reference. Reference files can include any feedback that the paper received from the journal or your supervisor/colleagues, the entire paper where only parts/sections are being submitted for editing, or any papers that clarify the niche terminology in your study. Note that our editors are not bilingual and will be unable to refer to any content that is not in English.

Get the entire paper edited

To avoid unfavorable comments on language from the journal or any committee that will evaluate the paper on its language quality, we recommend that the entire paper be edited to ensure its submission readiness. Sections that were edited previously may be excluded, provided no revisions were made to them since the last round of editing.

Share your requirements in detail

Use the instructions field to share your requirements or other important details regarding the assignment. A few examples are below.

  • If the paper is related to any previous Editage assignment, e.g., if it contains the responses to reviewer comments, cover letter, or abstract of a manuscript that we edited previously, share the related assignment's code in the instructions.
  • If you have specific requirements regarding the editing style itself, e.g., if you prefer minimal edits or a specific language style, or if you wish to avoid the use of active voice or the first person (I, we, our), or if you want the editor to retain specific terms as-is, share those preferences with your editor.
  • Mention the stage in the publication cycle that the paper is at, e.g., whether it is a new submission or if it has been conditionally accepted by the journal.
  • Add any specific instructions you may have regarding the use of your reference files.

Avoiding unfavorable comments or rejection because of language

Recommended process for checking edited manuscripts

Spend some time going through the edits and reading all the editor’s comments. Here is the suggested process to do so:

  • Read through the edited file(s) carefully and accept changes that you agree with. If you disagree with a change or comment, insert a query for your editor using Word's comments feature. To distinguish your comments from any existing comments, highlight new comments in a different color.
  • If you agree with the editor's suggestion in a comment, ensure that the suggestion is reflected in the corresponding part of the text and delete the editor's comment.
  • If the editor was unable to make edits or offer suggestions on some part of the text and has requested your clarification, please provide this through a comment in the edited file. You can also make your changes directly to the text; to indicate your changes to the editor, you can either highlight them or make changes with Tracked Changes turned on.
  • Use the Submit Questions feature in your Editage Online account to upload the file containing your changes and comments. You may also type any questions you have in this form.

Contact our Quality team if you have any concerns

The Submit Questions feature is useful to resolve any minor misunderstanding on the editor’s part. In case of a major misunderstanding affecting the quality of the overall edit, write to our Quality team at customercare@editage.com, explaining the reason for your dissatisfaction. Specific examples would be helpful.


Submit your revised manuscript for re-editing

If you or your co-authors/ supervisor make further changes to the edited document, these may inadvertently introduce language errors even if your changes are minor. Ensure you get the final version re-edited by us or a native speaker of English before journal submission. Editage offers free re-editing support for 365 days under the Premium Editing services and discounted re-editing under the Advanced Editing service.


Submit your paper to the journal with Editage's certificate of editing

Once you have resolved all your doubts and had any subsequent changes checked by the editor, the language quality in your paper is ready for journal submission. To assist authors with submission, Editage provides a certificate of editing confirming that the paper has been edited by professional editors and guaranteeing that its language quality is ready for publication, assuming that the authors have accepted all our suggestions and made no further changes. By including our certificate in your submission, you assure the journal that the language in your paper is clear and free of errors. Note that the certificate does not apply to any text that was excluded from our edit.

FAQs for edited manuscripts

Q. The edited paper contains fewer changes or comments than I expected. Did the editor do a good job?

A.

There can be various reasons for a light edit, e.g., the paper may have been edited previously and undergone few changes since then, or the quality of writing in the original was so good that it left little scope for editing. Look for the editor’s comment explaining the reason.

The extent of editing can also vary because of differences in editors' styles. Some editors prefer to retain the author’s tone and style, while others make heavier changes to include expressions of their choice. Differences in editing style do not affect the quality or acceptability of an edit.

Q. I submitted my paper for editing because it received unfavorable journal feedback on language. However, the edited paper does not have as many changes as I expected. I'm concerned about whether the editor has adequately addressed the journal's feedback.

A.

It is possible that the journal’s feedback was based on few or minor errors in the submitted paper, the correction of which did not require extensive editing. As a paper submitted to a journal is very likely to have been edited before, the scope for extensive editing is also significantly reduced. Journals also tend to advise language editing before submission or resubmission, irrespective of the quality of language.
